CONTRACT MANAGEMENT

Every organization has to manage contracts for employees, leases or maintenance. Cost can be saved by making sure that payment terms are observed and that contracts are extended or terminated on time. The contract life cycle module helps you to quickly create contracts and to keep track of contract documents, clauses, payment schedules and critical dates. You can link contract clauses with the original text in a scanned digital version of the contract.

Documents: You can link documents such as draft versions, scanned documents, letters and other interactions. You can manage document versions, add comments, upload, download and view documents.

Creation: By using contract templates, parameters and a clause library you can quickly generate contracts and send the contracts as PDF or Word documents per email.

Abstraction: You can scan incoming contracts and abstract clauses and critical dates so that you can quickly find contracts and can generate an overview of critical dates and clauses.

Indexing: Contracts can be indexed automatically. You can specify a date and a percentage. You can specify a different index for certain items in the contract, so that the index only applies to rent and not to the service expenses.

Notifications: You can enter a schedule with critical dates such as for termination, payments or extensions. For each date you can define the frequency and how many days before you want to receive a reminder.

Invoicing: Prices, discounts, dates and billing periods can be specified for each contract item. The automatic invoice generation helps you to save time and avoid mistakes.

Workflows: You can define custom workflows for new contracts, renewals or terminations. This can be just a reminder or a more complex workflow with time escalations and approval procedures.

The module can be configured for each user group by setting access rights to fields and functions. You can also define your own processes for modifying or creating data by defining custom workflows. Specific functions for your organization can be implemented on request.
