CONTRACT MANAGEMENT
Every organization has to deal with contracts for employees, leases or maintenance. Cost can be saved by making sure that payment terms are observed and that contracts are extended or terminated on time. The contract module helps you to keep track of contract documents, clauses, payment schedules and critical dates. You can link contract clauses with the original text in a scanned digital version of the contract.
The module can be configured for each user group by setting access rights to fields and functions. You can also define your own processes for modifying or creating data by defining custom workflows. Specific functions for your organization can be implemented on request. The standard functions of this module include:

Internet:
You can make all your contracts available for online viewing from different geographical locations. The imaging server enables fast viewing of high-resolution scanned versions in a standard web browser.

Categories:
You can define custom contract categories such as for employment, property leases or license agreements. You can search contracts by category or create reports per category.

Attributes:
Every contract category can have its own attributes. For example you can add a yes/no attribute 'permanent' to contract category 'employment' so you can search for employment contract that are for an undetermined period of time.

Workflows:
For each critical date you can define a custom workflow that should be executed. This can be just a reminder or a more complex workflow with time escalations and approval procedures.

Clauses:
You can set up your own clause types such as 'termination', 'payment' or 'confidentiality'. You can add contract clauses and search for clauses of a particular type in all your contracts.

Documents:
The various revisions and final version of the contract can be uploaded and viewed online. Contract clauses can be linked with paragraphs in a scanned version of the signed contract.

Dates:
You can enter a schedule with critical dates such as for termination, payments or extensions. For each date you can define the frequency and how many days before you want to receive a reminder.

Payments:
You can define a schedule of incoming or outgoing payments. For every entry you can define the frequency, such as monthly or annually, and the number of days in advance you want to be notified.

Invoices:
Incoming or outgoing payments can be exported to a financial system for payment or invoice processing. You can also use the invoicing functionality from the financial module and keep track of the payment status.
