KEY MANAGEMENT
Protect your assets, areas and employees | | |
The key management module enables you to manage the physical access of persons to areas, properties and assets. You can attach one or more locks to an object and multiple locks may have the same access code (e.g. cylinder). For each key you can define to which locks the key provides access and to whom the key has been issued. The key management module includes all functionality of the asset management module so you can upload photos and keep track of manufacturers.

Internet:
All information on management of keys is accessible via Internet. In case of a calamity you can view who has access to certain keys and who has supplied the locks.

Locks:
You can keep track of all information on locks such as the type, maintenance status, commission date and access codes. You have access to the full functionality of the asset management module.

Cylinders:
Cylinders are connected to locks and they can be replaced if necessary. In case of a lost key you can find out the location of the matching cylinders so that they can be replaced if required.

Keys:
You can see how many keys are in stock, to whom keys have been assigned and if keys are missing or stolen.

Master keys:
A normal key only provides access to locks with the same cylinder number. You can also create keys that fit on multiple cylinder numbers.

Key bunches:
Multiple keys can be assigned to a key bunch. If somebody needs access to a room the right key bunch can be found. When issuing the bunch all keys in the bunch are marked as issued.

Areas:
To every area you can assign one or more locks. You can see per area who has access. If there are no locks defined for an area the system will consider the locks defined at a higher level (e.g. floor, property).

Equipment:
You can also assign locks to equipment so that you can see who has keys for a car, copier or elevator.

Issuing keys:
When a access to an area is requested you can generate a list with available keys for that area. You can record to who and when a key has been issued.

Key list:
You can see which keys have been issued to a particular person. This list can be used to ensure that all keys are returned when an employee leaves the organization.

Access list:
You can see which persons have access to an area and to which areas a person has access.
|
 |
Log:
For every key a history is kept of when and to whom it has been issued. You can also see if the key is still in use or when it has been returned. This way you can check who had access to a certain area at a particular point in time.

Maintenance:
You can review the maintenance history of the locks and create work orders for inspections, regular maintenance or replacement in case of stolen keys.

Suppliers:
In case a lock does not open anymore you can see who the supplier and manufacturer is so that they can be contacted.

Drawings:
Locks can be displayed graphically in a CAD drawing. You can retrieve information on the cylinders, access codes and keys by clicking at the lock in the drawing.

Coding:
You can assign a code to keys and cylinders. This code consists of a pattern of digits and letters. You can design your own coding scheme, where a key can match one or more cylinders.

The module can be configured for each user group by setting access rights to fields and functions. You can also define your own processes for modifying or creating data by defining custom workflows. Specific functions for your organization can be implemented on request.
